Where things stand today

The practice is open eight hours. The phone rings twenty-four.

A patient who reaches no one on Tuesday evening doesn't call you back on Wednesday morning. They call the next practice on the list.

Working hours, you answer
Rest of the day, no one answers

blink voice covers those sixteen hours.

Most are lost after five

Missed calls through the day, for a single-doctor practice. After five in the afternoon almost every call is lost, because by then there is no one left to answer.

Three steps, and none of them is your job

Redirection

The number remains yours

With your operator, you turn on call forwarding that kicks in only when the line is busy or no one picks up after four rings. It takes five minutes and is done once.

So blink voice never takes a call you would have answered. It only gets the ones that would otherwise be lost.

Conversation

Short questions that can be heard even on a bad line

The assistant answers in the first second, says the name of the practice and states straight away that it is automated. It asks closed questions instead of open ones, offers two free slots from the calendar and confirms the number the patient is calling from instead of asking them to dictate it.

It answers about prices and preparation only from the information you've given it. When it doesn't know something, it doesn't make it up: it notes the question and says you'll get back to them.

Appointment in the calendar, summary on your phone

The appointment goes straight into the calendar. The patient gets an SMS confirmation, and you get a summary with the recording and transcript, so you can hear exactly what was said.

Everything the assistant didn't know is gathered in one place. Answer once, and it knows for good. After a month it knows the practice better than a new receptionist.

Assistant

Marković Practice, this is the automated assistant. Tell me what you need.

Patient

Good evening, I'd like to book an appointment with the doctor, if possible.

Assistant

Of course. Is it a check-up or are you in pain?

Patient

My tooth hurts, upper right, for three days now.

Assistant

I'm sorry. I have Wednesday at nine or Thursday at half past one free. Which suits you?

Patient

Wednesday at nine works.

Assistant

I've noted Wednesday at nine. You're calling from 065 214 887; shall I send the confirmation to that number?

Patient

Yes, it can.

Assistant

Done. The appointment is on Wednesday at nine, the address is Milana Radmana 47. If the pain gets worse overnight, the same number has an on-call line. Have a nice evening.

It's not just voice

The call is the way in. Behind it, a record remains

An assistant that talks nicely but books the appointment into thin air is worthless. That's why the appointment goes into your calendar, and in the morning a list is waiting for you of everything the night brought: who called, what they wanted and what got booked.

  1. Understands a sentence, not a command is not an answering machine

No “press one to book an appointment”. Patients talk the way they talk, mid-sentence, in dialect, with “you know, this one hurts, upper right”. The assistant works out from that that it's urgent, not a check-up. You can interrupt it mid-word and carry on with what you were saying.

It knows everything you've told it about the practice: opening hours, price list, which doctor does what, where to park, what to bring to the first appointment. What you haven't told it, it doesn't make up, it says it doesn't know and notes the question down for you.

  2. Booking system at the heart of it all

The assistant reads free slots from the same calendar it books them into. So it can't give away the same slot twice, or offer a time when the practice is closed. The appointment is saved before the call ends.

  3. Confirmation to the patient

An SMS goes to the number the patient called from, with the date, time and address. They don't have to remember what they heard on the phone.

  4. Recording and transcript of every call

Every conversation is recorded and transcribed. When a patient turns up saying they were told something else, there's no argument: you open the conversation and read it.

  5. Questions it couldn't answer learns over time

When a patient asks something it doesn't know, the assistant admits it and notes it down. Those questions wait for you in one place in the morning. Answer once and it knows for good.

Ten appointments you currently miss

The maths is deliberately cautious. It assumes the assistant catches only a third of missed calls from people wanting to book, and that the average treatment value is at the low end. Even in that version, it pays back sevenfold.

Who it's for

If you work with your hands, you can't hold a phone

01

Dental practices

The doctor is working in someone's mouth, the nurse is assisting. A call at 11 a.m. has no one to answer it.

02

Polyclinics

Reception has one line and three are ringing. blink voice catches the overflow.

03

Physiotherapy

A therapy session lasts an hour and the phone rings throughout that hour, every hour.

04

Veterinary clinics

Emergencies don't keep office hours. The assistant recognises an urgent case and wakes you with a message.

05

Specialists with diaspora patients

A call from Frankfurt comes in at nine in the evening their time, when you closed long ago.

06

Car repair shops

The mechanic is under a car when the phone rings. A 400 KM job goes to the competitor across the road.

When you get back to the phone

There's no list of missed calls waiting for you. What's waiting is work already done.

The patient gets an appointment and a clear confirmation. Reception gets a short note, the recording and what needs doing next.

01
People stay at the centre

The assistant only takes the calls your staff can't get to.

02
Every conversation leaves a record

Name, reason for the call, appointment and recording stay in one place.

03
Reception carries on as normal

When the patient arrives, the staff already know what was agreed.

Who builds this

The studio that has already delivered a system to a city

The blink voice service is built by studio blink from Banja Luka. Before it, we built Urbano, a city operating system, and launched it with an assistant that answers from real city documentation and cites where each answer came from.

When the practice outgrows notebooks and Excel

The phone is only the first part. The same system that keeps the calendar for blink voice also runs everything else the practice keeps on paper. We've been doing this for years, for the city and for private companies.

Patients see their own records on their phone

Log in and see when you're booked, what was done and what you owe. No need to call to ask about your appointment, or wait for someone to call back.

A patient file instead of a folder

Treatment history, X-rays and findings in one place, with the patient. You see who did what and when, and nothing gets lost when someone goes on holiday.

Calendar for multiple doctors and chairs

It knows who works which day, which chair is free and how long each procedure takes. Two patients can never get the same slot.

Patient data under lock and key

Patient consent, deletion on request and a log of who accessed whose record. What data protection law requires, and the GDPR too if you see patients from abroad.

None of this is part of the blink voice service, and none of it is billed with it. We do it separately, when needed. Tell us what holds you back most and we'll come and see how you work now.

Questions

What people ask first

Will patients be annoyed at talking to an automated assistant?

The assistant says in its first sentence that it is automated, so no one is misled. More importantly, it only gets calls that no one would otherwise answer. The alternative is not a person on the phone, but a phone ringing out.

What if it makes a mistake and says something wrong?

It answers only from the information you've entered and isn't allowed to improvise. When it meets a question outside that, it says it doesn't know and notes it down for you.

Appointments are never made up. Only genuinely free slots from the calendar are offered, and every booking is checked at the end of the call against what the assistant said. If it doesn't match, the call reaches you flagged as unresolved.

Do I have to change my phone number?

No. The number stays yours and stays wherever it's published: on your sign, business card and website. Your operator turns on forwarding for busy and unanswered calls, which takes five minutes and is done once.

How much work is the setup for me?

One conversation of about forty minutes in which you tell us how your practice works: services, prices, opening hours, who does what, what counts as urgent for you. From that conversation we put together a knowledge base and send it to you for review.

You don't type a thing.

Does it understand older people and our accents?

That's why the conversation uses short, closed questions, and why the phone number is confirmed rather than dictated. The system is designed to work even on a bad line, not to depend on perfect pronunciation.

For the first month we listen to every call and fine-tune. If it doesn't work as it should in your practice, you'll see that before you pay anything.

What about emergencies?

You define what counts as urgent for you. When the assistant recognises it, it breaks off the usual flow, gives the on-call number and instantly texts your mobile.

Who keeps the recordings and what about patient data?

Recordings and transcripts are yours and visible to you at any time. They are stored encrypted, deleted after a period you set, and used for nothing but running your practice.

What if I hire a receptionist?

Then blink voice still covers what reception doesn't: evenings, weekends, breaks and the moments when two lines ring at once. There's no fixed-term contract, so you can downsize your plan at any time.
